Use cases

Where AI creates value in real estate

Property is a people business run on paperwork. AI takes the response time and the reading off your team and leaves the judgement with them.

  • Enquiry qualification and viewing booking

Portal, web and email enquiries answered within minutes, qualified on declared facts and booked straight into the negotiator's diary. Touches the portals, the CRM and the calendar. Evenings and weekends stop being lost leads.

  • Lease and tenancy document extraction

Parties, term, rent, review and break dates, deposits and obligations extracted from leases, tenancy agreements and surveys into structured fields, with low-confidence items flagged. Touches the document store and the property management system. See contract analysis.

  • Listing content with approval

Descriptions, highlights and portal-ready copy drafted from verified property data and photos, approved by the negotiator, with every claim traceable to a fact. Touches the CRM and portal feeds. Consistent, faster to market, and defensible.

  • Maintenance request triage

Tenant reports classified by urgency and trade, with photos read and the right contractor suggested, in a tenant app or portal. Touches the property management system and contractor directory. Emergencies route to a person immediately.

  • Comparables and portfolio analytics

Comparable evidence assembled from your own transaction history and market feeds, and portfolio questions answered from rent rolls and lease data. Touches the data warehouse and valuation tools. Supports the valuer; does not replace the valuation.

  • Tenant and buyer apps

Native apps for viewings, documents, payments, maintenance and messaging, with assistants that answer from the tenancy and the building's information. Touches the property management system and payment provider. See AI for mobile apps.

Compliance and data

Fair treatment, accurate listings and identity checks

What we design for in real estate

Applicant and tenant data is personal data under GDPR and UK GDPR, and some of it, such as references and financial details, is sensitive. Property transactions carry anti-money-laundering and identity verification duties, so any AI that touches onboarding must preserve the evidence trail. Automated qualification must not discriminate, directly or by proxy, and property descriptions must be accurate, which is why generated content always has a named approver. This is engineering guidance, not legal advice.

We limit qualification to declared, objective criteria, log the facts behind every generated description and keep identity and AML evidence in your compliance system rather than in model logs. The AI data privacy service covers retention, access and subject requests.

Reference architecture

Flagship workflow: enquiry agent and document extraction feeding one CRM

Two lanes share one destination. In the top lane, enquiries from portals, the website and email reach an agent that answers questions from the listing, checks availability, qualifies on declared facts and books a viewing in the diary. It creates or updates the lead in the CRM with a summary of the conversation.

In the bottom lane, leases, tenancy agreements and surveys pass through extraction. Structured fields with confidence scores go to a property manager for review; confirmed values are written to the property management system and the CRM record.

Because both lanes land in the same system, the negotiator sees the enquiry, the viewing and the paperwork in one place. We build the agent on our AI agents pattern and the extraction on document processing.

Real estate architecture: enquiries flow through an agent that checks listings and books viewings; leases flow through extraction and review; both write to the CRM and property management system Portal, web and email enquiries Enquiry agent answers, qualifies on facts, books viewings Listings and availability Negotiator diary viewing booked Leases, tenancies, surveys Document extraction rent, term, break clauses, confidence per field Property manager reviews flags CRM and PMS lead, notes, lease fields creates lead, logs summary confirmed fields
Conversations and paperwork end up on the same record, which is what makes the negotiator's day shorter.

What we have built that applies

Property and tenant mobile apps

Search, maps, enquiries, documents and payments in native apps, drawn from the 1500+ apps delivered since 2006 across consumer and business clients.

Portfolio

Booking and scheduling at scale

Eventify schedules meetings between thousands of attendees and exhibitors, with clash handling and notifications. Viewing diaries are the same engineering problem.

ZekoHR case study
Getting started

The first 30 days

  1. Week 1: enquiry and document audit

Where enquiries come from, how fast they are answered, and a sample of leases and tenancies to test extraction on.

  2. Week 2: rules and integrations

Qualification criteria, booking rules and CRM field mapping agreed with branch managers and compliance.

  3. Weeks 3 to 4: pilot in one branch

Agent handles live enquiries for one office with staff reviewing; extraction runs on the document sample and accuracy is measured.

  4. Day 30: decision pack

Response times, viewings booked, extraction accuracy, cost per enquiry and a rollout plan across branches.

FAQ

Frequently asked questions

Can an AI agent qualify leads without being unfair to applicants?

Qualification is limited to objective, declared facts: budget, timing, property type, location and whether the enquirer wants a viewing. The agent never infers or scores protected characteristics, and the criteria are written down and reviewable. Decisions about tenancy or offers remain with your staff.

How accurate is lease extraction?

On well-scanned leases, key fields such as parties, term, rent, review dates and break clauses extract reliably; unusual clauses and poor scans get flagged for review. We measure accuracy on a sample of your own documents before anything writes to the property management system. See contract analysis.

Which CRMs and property systems do you integrate with?

Any system with an API: agency CRMs, property management platforms, portals and diary tools. Where there is no API we build a secure integration layer. Salesforce-based agencies get native Salesforce integration.

What does a listing content assistant change about our process?

It drafts; your negotiator approves. The assistant writes from verified property data and photos, flags anything it cannot support with a fact and keeps an audit of what was published. Accuracy of property descriptions is a legal matter, so the human approval step is not optional.
